Enter recipient, purpose and date
Choose a PDF copy you are entitled to use and enter the recipient, purpose and date — for example, "Only for onboarding at Example Ltd". Photos can first be converted with the Images to PDF tool.
Check coverage and legibility
The template repeats the text across the page. Adjust colour, opacity and size, and check that it covers several areas of the page without hiding fields that must stay readable. Open the download again and check every page.
Know the limits of a watermark
A watermark helps show the intended use, but it can be cropped or altered and cannot guarantee the file won't be misused. Check yourself whether the recipient accepts watermarked documents, and don't send files to unknown recipients just because they are watermarked.
